IdeaRoom supports capturing a legally binding digital signature on buyer contracts, along with a built-in editor for customizing your terms and conditions. This article covers what's supported today, how to turn it on, and where to track contract status.
Digital signatures is currently in an extended beta release. You may enable digital signatures on your site, with the limitations outlined below. Beta clients may be billed $1 per generated contract, invoiced separately from your IdeaRoom subscription. Please contact IdeaRoom Support via the SalesView Support chatbot for assistance.
Is digital signing a good fit for my business?
IdeaRoom digital signatures work best if you:
Use the standardized IdeaRoom PDF contract for all sales
Don't require multiple contract templates, multi-supplier contracts, or territory-based contracts
Are willing to enable checkout in your configurator (this does not require accepting payments online)
A few things aren't supported yet:
Multiple contract templates per site (one contract per site is supported)
Custom PDFs or merging in externally-created documents
Connecting your own PandaDoc account
Capturing a signature without enabling checkout
Sending a contract to a buyer's phone number to sign (signing is supported in-browser during checkout, or via an emailed link)
Setting up digital signatures
In SalesView, go to the Sites menu:
Under Buyer Actions, enable Checkout. Digital signatures require checkout to be turned on.
Under Payments and Deposits, add or select your payment method(s).
Under Orders and Contracts, select either Line Item Quote or Line Item Quote (Signature After Line Items) and check Enable digital signatures for orders.
To have the contract pop up automatically during configurator checkout, also check Capture signatures automatically at checkout.
Leave this unchecked if you'd rather send the contract manually from the Orders screen.
Tracking contract status
In SalesView, go to Sales > Orders. From here you can:
View the current contract status for each order
Manually send the contract to the buyer's email (click the arrow next to Not Sent in the Contract Status column)
Resend the contract if it hasn't been signed yet (click the arrow next to Sent in the Contract Status column)
Download a copy of the signed or unsigned contract from the Order Contract column
Frequently asked questions
Does checkout have to be enabled to use digital signatures?
Yes, checkout must be enabled under Buyer Actions for digital signatures to work.
Can a buyer sign from their phone via text message?
Not currently. Buyers can sign in-browser during configurator checkout, or via an emailed link.
Can I use a custom PDF for my contract?
Not currently. There is one contract template, but you can fully customize the terms and conditions text within that template (see below).
Can I connect my own PandaDoc account?
No. Contracts are sent through IdeaRoom's PandaDoc account, which is what allows contract status to appear automatically on your Orders page.
Can I use digital signatures if I have multiple contract templates?
Currently only one contract template per site is supported.
Customizing Your Terms & Conditions
Contract terms and conditions can be edited directly in Salesview using a built-in rich text editor.
How do I edit my terms and conditions?
In SalesView, go to Sites > Orders & Contracts and select a contract from the dropdown.
Go to Documents and check Include terms and conditions page. This enables the text editor, where you can paste in existing terms or write new ones from scratch.
Using tokens (substitutions)
Tokens let you pull dynamic order information directly into your terms and conditions text — for example, the buyer's name, delivery address, dealer name, deposit amount, or building style — so you don't have to fill these in manually for every contract.
Formatting limitations
The following aren't supported yet in the terms and conditions editor:
Tables
Additional signature or initial blocks
Full-width images (images are supported at up to half the page width)
