Managing Drafts and Leads

Drafts vs. Leads, permission-based visibility, lead stages, the Lead Detail page, and Internal Notes.

Drafts

The Drafts tab holds designs that don't have a customer conversation attached yet — just a saved design, waiting for someone to follow up.

There are two views:

  • My Drafts — designs saved under your own email address

  • Sales Team Drafts — every draft saved by anyone on your team. This view only appears if you have Admin or Manager permissions. If you only have Sales permissions, you'll just see My Drafts.

You can filter Sales Team Drafts by Dealer or Salesperson (the person who owns the draft) to quickly find what you're looking for.

What you can do with a draft:

Turns the draft into a real lead — you'll add the customer's name, email, phone, country, and address, then click Convert Draft to Lead

Removes the draft from your team's view (IdeaRoom staff can still see it)

Leads

A Lead represents a real customer you're working with. As covered in Getting Started with Sales Workspace, a lead is created automatically the moment someone saves a design using an email address that isn't registered in SalesView. If that same email already has a lead, the new design is added to it instead of creating a duplicate.

From the Leads tab, you can see contact info and creation date for every lead, and add notes, create a deal, or delete a lead right from the list.

What you see here depends on your permissions: Admins and Managers see every lead for the team, while users with only Sales permissions see just the leads assigned to them.

Lead stages

Every lead moves through a standard set of stages:

  • New — just entered, not yet contacted or reviewed

  • Engaged — has responded to outreach, not yet assessed for fit

  • Qualified — confirmed to have the need, budget, and authority to buy

  • Deal — has an active, in-progress deal (set automatically)

  • Customer — converted through a closed-won deal (set automatically)

  • Nurture — not ready to buy yet, being kept warm

  • Unqualified — doesn't meet the criteria for a real opportunity

  • Not a Lead — shouldn't have entered the pipeline (spam, duplicate, wrong audience)

You can rename these stages or change their colors to match how your team talks about the pipeline. Look for stage settings under Settings.

If a lead still has an old custom stage from before this update, it'll display as-is, but you can't edit it directly — clicking it moves the lead into one of the stages above. The Lead Detail page

Click into any lead to see everything tied to it:

  • Every saved design and quote, grouped by reference number (versions are labeled -1, -2, -3, and so on, so you always know which one is current)

  • A perspective view and floor plan for the selected design

  • Contact details, dealer assignment (if you have permission), and internal notes, in the Lead Details panel

From here you can:

  • Edit lead details — click the edit icon next to the Lead Details heading to update the customer's name, phone number, or address

  • Assign a dealer or owner — right from the Lead Details panel, without leaving the page

  • Send design — opens your email with a link to the design pre-filled (or text it, on mobile)

  • New Design Revision — opens the embedded configurator right inside SalesView so you can change size, color, style, and more without leaving the page. Clicking Save changes creates a new version — it never overwrites the original.

Note: Any webhooks tied to the external configurator also fire from the embedded configurator, so your existing integrations keep working without changes.

Internal Notes

Every lead has its own Notes section, right in the Lead Details panel. Use it to log conversations, follow-up reminders, or anything your team needs to remember about this customer — "Called, wants delivery by end of month" or "Waiting on financing approval," for example.

A few things worth knowing:

  • Notes are internal only — the customer never sees them, no matter how they're contacting you

  • Each note shows who wrote it and when, so your team has a shared record instead of relying on one person's memory

  • You can edit or delete a note after adding it

  • If a customer left a note of their own while saving a design in the external configurator, it shows up in this same list — but unlike your team's notes, you can't edit or delete it

This is especially useful once a lead has been touched by more than one person — dealers, sales reps, or account managers can all see the same history instead of starting from scratch.
